Multi-agent team hits API rate limits; staggered 30-minute checks fixed it

A small consultancy running a fleet of AI agents (social scheduling, inbox monitoring, research) across Notion, Gmail, X and other tools kept hitting rate limits — one human never knocks that often, but ten agents checking every minute do.
The embarrassingly simple fix: agents stopped polling nonstop and now check in every 30 minutes, staggered so they don't knock simultaneously. Same work gets done, nothing urgent slowed noticeably, and the errors stopped.
Takeaways
- More agents means more knocking: budget for the apps' rate limits, not just the AI
- Most "real-time" checking isn't needed — 30 minutes is fine for almost everything a small business does
- The constraint forced the team to identify what genuinely needs to be instant (very little)
