The author shares how Grok's newly shipped Proactive Bot fixed their automation loops over a Linear queue of 389 issues (80 noise). Why engineered loops fail: no queue owner, unpruned noise and stale statuses, cold-start context rebuild wasting tokens, and silent stalls nobody notices. The fix: Proactive Bot proactively surfaces blockers and decisions, a 'Chief of Staff' bot owns one priority queue and delegates to a small team (engineer, QA, research, content), a single entry point, and one bot holding context to save tokens. Rule: it drafts, you send. Now applying it across 60+ GitHub repos, local folders, and Claude Code/Codex sessions for token management.
